The Project Controls / Project Management / Administrative Specialist provides essential support to engineering and construction projects by organizing information, tracking financial performance, and improving operational processes. This role requires someone who is comfortable working with numbers, analyzing budgets, and transforming unstructured or incomplete information into clear, well-organized systems. The ideal candidate enjoys problem-solving, building order out of chaos, and helping project teams operate more efficiently.

Responsibilities

How you can make an impact:

Financial and Project Tracking

  • Review and maintain project budgets, spending reports, forecasts, and financial summaries.
  • Analyze costs, labor hours, and spending trends to identify variances or issues.
  • Reconcile weekly reports and financial data to ensure accuracy.
  • Assist project managers with preparing financial explanations, updates, and documentation for clients.
  • Support the review of invoices and resolve discrepancies.

Organizing and Structuring Information

  • Take disorganized data, documents, or workflows and create clear, logical structures.
  • Build and maintain organized digital systems for files, reports, and project information.
  • Clean, merge, and restructure data using tools such as Microsoft Excel and Power Query.
  • Create standard templates, checklists, and processes that make the team more efficient.
  • Improve tracking tools, logs, and reporting methods to support project visibility.

Project Support and Coordination

  • Track schedules, deadlines, deliverables, and progress updates.
  • Prepare meeting notes, task lists, and decision logs to support communication across the team.
  • Assist with onboarding and coordination for new team members.
  • Help prepare client reports, presentations, and documentation packages.
  • Identify risks or issues that may affect budget, schedule, or workflow and notify the project manager.

 

Qualifications

Required Qualifications

  • Strong financial awareness and confidence working with budgets, numbers, and cost tracking.
  • Proven ability to organize unstructured or incomplete information into clear, usable formats.
  • Strong skills in Microsoft Excel and Power Query for data cleaning, analysis, and reporting.
  • Excellent attention to detail and accuracy.
  • Strong communication and documentation skills.
  • Ability to manage multiple priorities and work in a fast-paced environment.
  • Two or more years of experience in project coordination, project controls, project administration, or a related role.

Preferred Qualifications

  • Experience in engineering, utilities, construction, or technical project environments.
  • Familiarity with tools such as Monday.com, Smartsheet, Jira, or Power BI.
  • Experience improving processes, creating templates, or standardizing workflows.
  • Exposure to design, review, permitting, or field support work.

Location: This position will be located in Panama City, Panama

Travel:  Occasional travel may be needed (10% or less)
