We are seeking a Proposal & Business Support Coordinator with 3–5 years of experience to support business development and proposal functions. This role will focus on managing new client vendor registrations, compliance and risk questionnaires for existing clients, and assisting the proposal team with content collection, formatting, editing, and document preparation. The ideal candidate is organized, proactive, and capable of independently managing tasks while collaborating across multiple teams to ensure high-quality, timely deliverables. 

Responsibilities

How you can make an impact:

Vendor Registration & Compliance Support 

  1. Manage new client vendor registrations and related administrative processes. 
  2. Ensure all vendor registrations are up to date and compliant with agency requirements (including the latest Certificate of Insurance (COI). 
  3. Manage client compliance and risk questionnaires through portals such as Avetta, ISNetworld, Veriforce, and other required systems. 
  4. Oversee the entire compliance and vendor registration process from start to finish, coordinating with internal teams to collect all necessary information and ensure accurate and timely completion. 
  5. Maintain document control of compliance questionnaires and vendor registration materials in SharePoint, ensuring files are organized, current, and accessible. 
  6. Track progress, status, and volume of compliance and vendor registration activities in Salesforce, providing reports as needed to leadership. 
  7. Serve as the primary point of contact for compliance and vendor registration processes, resolving issues and ensuring deadlines are met. 

 

Proposal Support

  1. Support the proposal team throughout the RFP lifecycle, including content collection, formatting, editing, and document preparation. 
  2. Register and maintain company profiles on procurement and bidding portals. 
  3. Maintain required certifications, licenses, and compliance documents. 
  4. Update company capability statements and required vendor forms. 
  5. Maintain organized files and records of proposal documents, templates, and other related content/materials.
  6. Qvidian Content Management: Develop, organize, and maintain content library for vendor registrations and compliance questionnaires to enable efficient reuse in future submissions.  

Qualifications

Qualifications & Skills: 

  1. 3–5 years of experience in proposal support, business development support, or related roles.  
  2. Strong project management skills, with experience coordinating multiple tasks and deadlines across teams. 
  3. Professional demeanor, remaining calm and emotionally controlled under pressure. 
  4. Must be production and detail oriented 
  5. Must be a strong team player with the ability to work independently. 
  6. Dependable, patient, and trustworthy. 
  7. Highly motivated with a strong desire to learn. 

Technical Skills: 

  1. Microsoft Office – Word, Excel, PowerPoint, Outlook, Adobe Acrobat Pro 
  2. Must be excellent with grammar, spelling, and written descriptions

Location: This position will be located in Panama City, Panama

Travel:  Occasional travel may be needed (10% or less)
