The Client Project Setup and Maintenance Coordinator plays a key role in ensuring the accuracy, consistency, and efficiency of project setup and maintenance across systems. This position acts as the bridge between the Sales, Finance, and Operations teams — ensuring that project data flows seamlessly from Salesforce (or CRM) into the company’s ERP/Project Management system. The ideal candidate is detail-oriented, process-driven, and enjoys working cross-functionally to ensure smooth project lifecycles from initiation to closeout.

Responsibilities

How you can make an impact:

Project Setup & Maintenance

  • Create, validate, and maintain new project records in the ERP/Project Management System based on information received from Salesforce or other intake sources.
  • Ensure accuracy and completeness of project data, including client information on the system.
  • Perform project updates and modifications as needed, ensuring all changes are documented and approved.
  • Conduct regular project cleanup and closeout activities, ensuring inactive or completed projects are archived appropriately.

Data Integrity & Systems Alignment

  • Serve as the primary liaison between Sales, Finance, and Operations for project setup.
  • Manage the reconciliation and alignment of project data between the CRM (Salesforce), the ERP/Project Management System, and the accounting platform (e.g., QuickBooks).
  • Identify and resolve data discrepancies promptly to ensure system consistency.

Operational & Administrative Support

  • Act as the focal point for project-related inquiries — including timecard entries, access issues, and activity code setups.
  • Manage the shared email inbox, ensuring timely responses and appropriate follow-up on all project-related requests.
  • Oversee new employee setup and terminations in the ERP/Project Management System, maintaining proper project and role assignments.
  • Coordinate with other team members on intake forms and assuring completion of projects and data integrity

Collaboration & Process Improvement

  • Partner with Finance, Sales, and IT to improve system integration and workflow efficiency between platforms.
  • Participate in cross-functional initiatives aimed at enhancing data governance and project lifecycle management.
  • Provide input to continuously improve automation and process transparency in project setup and maintenance.
  • Support ad hoc projects or analyses as assigned by management.

Confidentiality & Compliance

  • Maintain the highest level of confidentiality and data integrity when handling employee, client, or financial information.
  • Ensure all work complies with company policies, internal controls, and accounting standards.

 

Qualifications

  • 2–4 years of experience in project coordination, operations support, or financial data management preferred.
  • High attention to detail and accuracy.
  • A proactive mindset with a willingness to learn and adapt.
  • Excellent organizational and time management skills to handle multiple tasks efficiently.
  • Strong communication and interpersonal skills to collaborate with colleagues and external stakeholders.
  • Proactive mindset with strong problem-solving skills and ability to adapt to evolving priorities.
  • Strong interpersonal and communication skills for cross-departmental collaboration.
  • Proficiency in Salesforce, ERP/Project Management Systems, and Microsoft Excel; familiarity with accounting software (e.g., QuickBooks) is a plus.

Location: This position will be located in Panama City, Panama

Travel:  Occasional travel may be needed (10% or less)
