The Executive Assistant will provide support to multiple C-level executives. This role demands a sharp eye for detail, and the ability to anticipate needs with minimal direction. You’ll be a trusted partner, navigating shifting priorities with ease, managing complex calendars and itineraries, and ensuring seamless communication across teams. Responsibilities

 

How you can make an impact:

  • Maintain accurate and detailed calendars for multiple executives, managing scheduling requests while balancing priorities and minimizing friction
  • Proactively communicate schedule changes, anticipate conflicts, and resolve scheduling issues in a timely, solution-oriented manner
  • Ensure meeting agendas and summaries are prepared, and participants are confirmed at least 48 hours in advance
  • Serve as a gatekeeper by filtering incoming requests, allowing the executives' time and attention are focused where it matters most
  • Attend meetings as requested; take and distribute clear meeting minutes, and help track action items and project timelines
  • Draft executive communications, reports, presentations, and spreadsheets with clarity and professionalism; act as proxy for communications and approvals when authorized
  • Organize internal and external meetings and events, including end-to-end coordination of logistics
  • Coordinate domestic and international travel, including complex itineraries.
  • Manage executive expense reports, including timely reconciliation of receipts and submission of accurate reports in alignment with company policies
  • Serve as the backup for the Office Manager to include front desk administration
  • Work with Office Manager to coordinate Austin team events, including summer gatherings and year end celebrations

 

Qualifications

Bring your passion, here's what’s needed:

  • 8+ years of executive assistant or equivalent experience, including 4+ years supporting C-level executives
  • Exceptional organizational, time management, and prioritization skills with a focus on accuracy and follow-through
  • Confidence navigating shifting priorities and last-minute changes with composure and clear communication
  • Strong written and verbal communication skills
  • A successful candidate can utilize their experience to anticipate the needs of the executives they are supporting
  • Able to represent executives internally and externally with the utmost professionalism
  • High-level discretion and proven ability to handle confidential information with integrity
  • Skilled at engaging with cross-functional teams, stakeholders, and high-profile external partners
  • Demonstrated success managing business travel logistics, event planning, and executive calendar management
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, SharePoint).

Location: This position is located in Austin, TX Headquarter; The position is a full-time in-office role.

Travel: Travel requirement is infrequent- when needed travel will most likely be during business hours.  On rare occasions overnight travel may be needed.
